This Privacy Policy explains how PawfolioBreeder ("we," "us," or "our") collects, uses, and protects your personal information. It covers both our web platform and our iOS and Android mobile apps.

1. Information We Collect

  • Account Information: Name, email address, and password when you create an account.
  • Breeding Data: Animal records, health records, photos, litter information, pedigrees, and other breeding-related data you upload.
  • Genetic Data: DNA reports you upload and the genetic loci data extracted from them by our AI processing system.
  • Payment Information: Billing details processed securely through Stripe. We do not store credit card numbers.
  • Contact Information: Phone numbers provided through contact forms, applications, or waitlists on breeder websites.
  • Usage Data: We collect information about how you interact with our service, including pages visited, features used, browser type, device information, and IP address.
  • Performance and Error Data: We automatically collect error reports, performance metrics, and diagnostic data to monitor service health and resolve technical issues.
  • Camera and Photo Access (Mobile Apps): When you choose to photograph an animal or attach an existing image, our mobile apps access your device camera or photo library. Access is requested only at the moment you use one of these features, and only the images you explicitly select or capture are uploaded. We do not scan, index, or browse your photo library.
  • Device Tokens (Mobile Apps): If you enable notifications, we store a push notification token issued by Apple or Google for each of your devices, so we can deliver alerts about messages, inquiries, and upcoming records.
  • Mobile Device Information: Device model, operating system version, app version, and a generated installation identifier, used to deliver notifications to the correct device and to diagnose crashes and errors.

2. How We Use Your Information

  • To provide and maintain the PawfolioBreeder service
  • To process DNA reports and extract genetic loci for coat color forecasting
  • To process payments and manage subscriptions via Stripe
  • To send important service notifications (e.g., policy updates, billing alerts, health record reminders)
  • To send SMS notifications when breeders send you messages (if you provided a phone number)
  • To monitor service performance, identify and fix errors, and improve platform reliability
  • To understand how our service is used so we can improve the user experience
  • To generate audit logs for your account activity
  • To provide customer support, including accessing your account to diagnose and resolve technical issues when needed

3. Genetic Data Processing

3.1 DNA Report Storage

When you upload a DNA report, the original document is stored in our secure storage system with encryption at rest. Documents are associated with your account and the specific animal profile.

3.2 Loci Data Extraction

Our AI system processes uploaded DNA reports to extract genetic loci data (e.g., agouti, dilute, colorpoint genotypes). This extracted data is stored in your account database and used for:

  • Displaying genetic profiles on animal records
  • Calculating coat color forecasts for breeding pairs
  • Providing trial mating genetic analysis

3.3 Data Use Limitations

We do not:

  • Share your genetic data with third parties
  • Sell or license genetic data
  • Use genetic data for any purpose other than providing PawfolioBreeder services to you
  • Aggregate genetic data across breeders for research without explicit consent

4. Data Sharing

We do not sell your personal information. We may share data with:

  • Stripe: For payment processing (payment amounts, buyer email for receipts, connected account data)
  • Cloudflare: For content delivery, custom domain management, and SSL certificate provisioning
  • Email providers: For sending transactional emails (notifications, reminders, invoices)
  • SMS providers: For sending text message notifications (message alerts, application updates)
  • AI processing services: For pedigree import and DNA report loci extraction (documents are processed securely and not retained by the AI provider)
  • Analytics and monitoring providers: We use third-party services to collect anonymized usage analytics, error reports, and performance data. These tools help us understand how our service is used, identify technical issues, and improve reliability. Data shared with these providers is limited to technical and usage information and does not include your breeding records, genetic data, or personal content.

All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

5. Data Security

We implement industry-standard security measures including:

  • Encryption in transit (TLS/HTTPS)
  • Encryption at rest for document storage
  • Secure password hashing (bcrypt)
  • Regular security reviews and vulnerability assessments
  • Role-based access control with tenant isolation

6. Data Retention

  • Account data: Retained as long as your account is active
  • Breeding data and records: Retained for the duration of your active account plus 30 days after cancellation
  • Uploaded documents (DNA reports, health certificates, etc.): Retained for the duration of your active account plus 30 days after cancellation
  • Activity and audit logs: Retained for 90 days
  • Analytics and performance data: Retained in anonymized form for up to 24 months
  • Billing and payment records: Retained for 7 years for legal and tax compliance
  • Upon account deletion, personal data and breeding records are permanently removed within 30 days. Billing records are retained as required by law.

7. Your Rights

You may request access to, correction of, or deletion of your personal data at any time by contacting us or using the data export feature in your account settings. You may download all your breeding data, health records, and uploaded documents at any time.

You may cancel your subscription or request account deletion at any time. See our Terms of Service for details on the cancellation process and data retention timeline.

8. Cookies and Tracking Technologies

We use essential cookies for authentication and session management. We also use analytics tools to understand how our service is used and to monitor performance. These tools may use cookies or similar technologies to collect anonymized usage data. We do not use tracking cookies for advertising purposes.

9. Children's Privacy

PawfolioBreeder is intended for use by adults (18+) managing breeding programs. We do not knowingly collect personal information from children under 13.

10. Changes to This Policy

We will notify you of material changes to this policy via email and in-app notification. Continued use of the service after changes constitutes acceptance.

11. Mobile Applications

Our iOS and Android apps are companion tools for existing PawfolioBreeder account holders. Accounts are created and managed on the web; the apps do not offer registration.

Permissions We Request

The apps request device permissions only when you first use the feature that needs one, and each is optional — declining disables that feature and nothing else.

  • Camera: to photograph animals and attach the photos to their records.
  • Photo Library: to attach images you already have to a record. We access only the specific images you select.
  • Notifications: to alert you to new buyer messages, inquiries, and upcoming health or breeding records.

The apps do not request access to your location, contacts, microphone, calendar, or health data. Where the app shows a phone number and offers to call or text a contact, it hands that number to your device's own phone or messaging app — it does not read your device address book, and your personal contacts are never uploaded.

Push Notifications

Push notifications are delivered through Apple Push Notification service (APNs) and Firebase Cloud Messaging (FCM). To route a notification, the content of that notification passes through the relevant service. Turning notifications off in your device settings stops delivery; you may also ask us to delete your stored device tokens.

Data Stored On Your Device

The apps store your authentication tokens in the device's secure storage — Keychain on iOS, Keystore on Android — along with locally cached copies of records you have viewed, so the app can display them quickly. Signing out clears both.

Account Deletion

You can delete your account from within the app at More → Delete account. Deletion is scheduled with a 14-day grace period, during which signing back in cancels it; after that, your personal information is removed as described in "Data Retention" above. Deleting the app from your device does not delete your account or its data.

Tracking

We do not track you across apps or websites operated by other companies, and we do not share your data with data brokers or advertising networks. The apps contain no advertising or third-party tracking software. The website analytics described in "Cookies and Tracking Technologies" do not operate within the mobile apps.
